ERPNext Implementation for Streamlined Warehouse Management

Victor Reinz (Dana Limited brand) specializes in engine and exhaust sealing solutions, including cylinder-head gaskets, oil seals, valve stem seals, intake/exhaust manifold gaskets, and turbocharger mounting kits. To enhance efficiency, they also utilize a barcode tracking system integrated with warehouse management software and SAP S/4HANA integration.

Business Challenge

Victor Reinz India aimed to enhance its warehouse management processes by implementing a barcode tracking system for inbound operations and FIFO tracking, which is seamlessly integrated with SAP S/4HANA integration in the Public Cloud. Manual touchpoints during the inbound and issue processes were hindering efficiency and introducing errors. The limited package-level traceability made enforcing FIFO challenging during put-away and picking. Additionally, the fragmented data flow between handheld activities and SAP S/4HANA resulted in delays in reconciliation and reporting.

The Solution

Mazeworks implemented a centralized web application with an Android handheld scanner app (V‑CONNECT‑2), QR/label printing, and a SAP S/4HANA integration module. This comprehensive solution encompasses both Material Inward and Material Issue/Reservation & Picking processes, supported by FIFO alerts and validations to ensure compliant execution.


Key Components


- Web Application (central server) + Mobile app (Android handhelds) for scanning workflows, enhancing the barcode tracking system.

- GRN QR code generation and package label printing for granular tracking.

- SAP Integration Agent facilitating data read/post between the warehouse management software and S/4HANA Public Cloud.

- FIFO alerting and location-aware put-away/picking to enforce sequence.

- Integration Options: The design supports SAP data exchange via SAP Gateway/PI/PO or FTP-based sync, with SAP-side logic for fetching/posting master and transactional data.


How It Works


1) Inbound (Gate to Put‑Away)


- Gate Entry: Capture transporter details and number of packages; post Gate Entry (GE).

- PO Retrieval: Pull PO details (vendor, items, quantities).

- GRN & Batch: Create GRN and batch; fetch GRN details.

- Split & Label: Split received quantities across packages and print package labels (QR).

- Put‑Away: Scan location + package to complete system-guided storage; movement posting recorded.


2) Reservation, Picking & Issue (FIFO)


- Reservation: Read reservation details with quantities from SAP.

- Picklist: Create picklist from reservation and route to handheld device.

- Guided Picking: Scan package labels by material serial/package at system-suggested locations with FIFO enforcement.

- Close & Post: Complete scanning, close picklist, and perform transfer/issue posting.


Architecture Highlights


- Central server hosts the web app and integration services; handhelds connect over Wi-Fi.

- SAP S/4HANA integration for inbound GRN creation data, reservations, and postings; flexible Gateway/PI/PO/FTP options.

- Label printer and rugged Android scanners (e.g., Zebra TC22) ensure reliable barcode operations on the shop floor.

The Impact

Traceability: Package-level QR codes and batch-linked GRNs enhance end-to-end visibility from gate to issue, supported by a robust barcode tracking system. Compliance: FIFO validation during picking minimizes aging inventory and ensures correct consumption, all integrated within our warehouse management software. Efficiency: Scan-driven workflows reduce manual errors, decrease search time, and expedite put-away and picking processes. SAP Data Integrity: The SAP S/4HANA integration enables direct postings and synchronized references (PO, GRN, Reservation, Picklist) that improve reconciliation.
